Position: Executive Assistant to the Executive Director

Reports to: Executive Director
Overall Responsibility: The Executive Assistant provides executive support to the Office of the Executive Director. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Executive Director. The Executive Assistant also serves as a liaison to the board of directors, principals and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Key Areas of Responsibility:
● Completes a broad variety of administrative tasks for the Executive Director including: managing an active calendar; arranging travel plans; preparing correspondence; filing and organizing important materials.
● Communicates directly and on behalf of the Executive Director, with Board members, Trustees, donors, principals, teachers, priests, and the Bishop’s office. ● Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Executive Director, including those of a sensitive or confidential nature.
● Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the Executive Director.
● Manages hiring process for all new employees, and organizes and manages staff appreciation efforts.
● Prepares Executive Director newsletter and other correspondence to stakeholders and donors. Qualifications:
● Bachelor’s degree preferred; minimum of Associates degree; significant related experience considered
● Strong organizational skills
● Strong interpersonal skills (service oriented)
● Demonstrated strong written and verbal communication skills
● Demonstrated strong word processing and spreadsheet skills
● Demonstrated strong presentation development skills (Power Point, Infographics, etc.)
● Basic knowledge of Google Docs
● Basic knowledge of Web 2.0 applications
● Ability to learn new things quickly and enthusiastically 2
● Ability to proficiently operate computer, keyboard, printer, copier and other office equipment
